Q: Is there an easy way we could let our end-users use UPK for reporting problems or for specifying desired changes (in Oracle R12).
If UPK is integrated into the health menu of your oracle EBS system, then yes, there are different ways in which you can leverage the features of UPK to provide feedback from your users, in case they want to make comments on the content they are reviewing or there is different ways to embed generic FAQ information, or feedback for your developers embed the email link, use the feedback mechanism there are many ways to get feedback.
UPK is very flexible; there are components like the Knowledge Center that provide a way for feedback.
Q: What is the latest stable version of UPK in the market?
The latest version is UPK 11.1 with enablement service pack 2. Technically speaking, we went from 11 to 11.1 to 11.1.01 and now to 11.1.02 – to people who are on 3.6.1, don’t panic: UPK jumped from 3.6.1 to 11, you did not miss seven versions in between.
Q: Can we create a document in English and convert to Spanish?
Q: We have the Basic version, what are the additional features that we would get with the Professional version?
UPK Professional adds a different layer on the user side. It’s really about enhancing the organization and delivery to your user population. Right now what’s standard when you publish the player package – which is a collection of the simulation – is that your user gets the search and then selects the See It, Try IT, Do It, etc. The Knowledge Center is really what UPK Professional allows you to use. It is a custom user portal that will recognize your users and give them access to the different learning paths that you want to better organize and keep track of for your users. UPK Professional allows for a better organization, delivery and keeping track of the activities of your users.
That’s the main thing, then there are also enhanced features like talk to experts, provide feedback and more.
Q: Are there “best practices” available in setting up UPK libraries and outlines for multi-developers that ensures a streamline process when making edits and during upgrades?
There are definitely some best practices – getting set up, styles and standards, permissions, governances, roles, responsibilities. There’s also the Enablement Content that Oracle has produced, which discusses the set up of a multi-user environment – it’s built with UPK so you can actually watch it. There are numerous avenues to find the best practices – for detailed information you can request a UPK Health Check.
Q: What official training is available through Oracle and how would we know what we would need?
On the Oracle side, there’s Oracle University, the official training platform for all Oracle products. You can sign up at an Oracle facility for UPK training and you can come to an Oracle location to get free training on how to use the UPK developer and more. Courses are also available online, or Oracle can also come to your facility and do a personalized instructor-led training for your organization. There’s the course on how to be a UPK developer, accelerator training, and some on implementation guidance and support.
IT Convergence offers pretty much the same courses, but mostly we come to you. We send you the agenda up-front so that you can check which contents your organization is most interested in. Our offer is to customize the courses and make it about you – some people don’t use audio, so we’re not going to train you on that. So the biggest difference is we focus on what you want to do and we establish before we go all the necessary setups, so that on the training day we don’t waste time on any technical issues. We work a lot with staged problems, since sometimes a three-day course is great on theory, when we get away from the training and start building content, that’s when we run into problems and might get stalled. That’s why we like to work with staged problems, peer to peer training and hands- on scenarios.
Q: We own several developer licenses & have installed (single user) 3.6.1 (not used currently – but I intend to use it for the R12 upgrade. Should I upgrade to Version 11?
We would definitely recommend upgrading to version 11.1 of UPK. One of the newest features of 11.1, the Test It mode is becoming more and more valuable – moving from manual reporting to automated reporting; and the greatest feature of Test It mode is the ability to do bug tracking. It’s a bug icon that you can click and it will track every step that you took to encounter that bug, which you can then hand over to the team who will be fixing the bug. This process is usually very time-consuming throughout the project lifecycle, due to problems in communication on how the bug was encountered, so UPK 11.1 will save you a lot of time and effort.
As long as you are active on your maintenance, upgrading to the latest version is free, so you can download it today. UPK is one of the simplest products to install, it’s literally a wizard, and especially if you want a single-user, it will take 15 minutes to finish. So you’d be getting all this additional functionality and value in less than 20 minutes, including download time. On top of that, I’d urge you to take a look at the pre-built content for EBS, because it provides great value for presentations, stakeholder reviews, for increasing communication – it’s a huge head start.
Q: We also don’t have pre-built content. I got a quote from Oracle but it seems pricey and we mostly want to use it for our self-service modules. How useful is the pre-built content?
Pre-built content is extremely beneficial. Most people think “this content doesn’t really match my procedures, there’s no value here for me”, but that’s simply not true. It is extremely valuable, particularly if you are doing an upgrade. It basically provides answers to everything you’re heading forward with – many people don’t know which procedures are out there when performing an upgrade, or which procedures are high priority to document. Downloading the pre-built content gives you an entire library to start from. All high priority procedures that users are going to need access to have been categorized. Updating the content is extremely easy – with screenshots, swapping or adding steps – because we recognize that your processes may be slightly different to Oracle’s. We’ve made the UPK developer easy to use to change pre-built content so that it matches your processes.
Building this content without using UPK is much more costly, so there’s immediate ROI when using UPK. On top of that, leveraging the pre-buit content of Oracle UPK increases the ROI even more.
Q: Can UPK be tailored to cater for Personalizations, Customizations and Localizations within an E-Business Suite R12 environment?
Yes. UPK is not specific to any Oracle forms or technologies that are pre-delivered with Oracle, so as you customize your processes and you change or review your Oracle Middleware products to develop your own apps, it doesn’t matter.
UPK recognizes your application technology, so if your application delivers through a browser using Java, that’s all UPK cares about. So you can support more than just Oracle, because there are many technologies out there, like SAP Lawason, Workday, SalesForce; but they are generally built in the same way: the browser delivers the application, they use common developer language in code- so UPK will pick up all the customizations made to your application.
Q: Does the client application work on Linux?
UPK is designed to work on a Microsoft operating system. Likely your laptop used to build the content would be a Windows OS; you wouldn’t install it on a Linux server, but on the laptop running Windows. Applications that are served up from a Linux box would be Ok, because you’d be accessing them from a Windows OS. There’s really no need to install on a Linux server, but it wouldn’t work.
Q: Is there pre built content for Fusion applications?
Yes, there is. The UPK Pre-built Content for Fusion 11g Release 1 which contains the following sections:
• Distribution Order Orchestration
• Functional Setup Manager
• General Ledger
• Global Human Resources
• Project Portfolio Management
• Self Service Procurement

Q: We use UPKs (Player Packages) for training on Oracle and one of the biggest challenges we face is with translations. Specifically, if you have UPKs across 15 different languages that are being managed by a team based in the US that do not speak the language, how can you recapture UPKs when changes occur in the system/process and minimize errors. For example, if a change is made in the system, and I now have to edit a Japanese UPK, how can I ensure I am capturing the correct data without knowing the language myself?
UPK has the Localization feature that can solve translation challenges. When changes occur in the system, the new processes can be exported with the Localization feature and given to the employees that speak both, English and the local language. If the topics are not highly customized, UPK supports 22 different languages for the standard UPK template.
Q: Another struggle we face is capturing sensitive data for Employees that are in Oracle. If we do not have a test environment and have to work out of the live system to record UPKs, what are your recommendations for us to ensure we don’t mistakenly share sensitive employee data (especially when the material is translated)
In order to not share sensitive employee data there are a couple of things you could do in the UPK developer after the topic is recorded.
First, if sensitive data has to be entered in a specific field in order to proceed with the process, the data entered can be changed in the Frame Properties toolpane by selecting Input Text, clicking on String input options button and Replace text.
Second, sensitive data can be erased in Edit Screenshot section of the Topic Editing Toolbar. This means that it is possible to use a picture editing program such as Paint or Photoshop to edit the screenshot and erase sensitive data.
