Company Overview

Our Client is a leading diversified media conglomerate - one of the pioneers of the early Internet era in the 1990s. Prior to ITC, the client had depended on manual, paper-based efforts to manage different payment methods, reconciliation process, and supplier data, due to which their processing was becoming increasingly expensive, burdensome, lengthy, and error-prone. For this reason, the client approached IT Convergence to obtain a custom-tailored technology solution with capture, recognition, imaging and workflow capabilities, that would automate and improve their Accounts Payable process.

The Challenge

  • Between 9,000 - 12,000 invoices per month
  • Region-specific business processes
  • 10+ languages and multiple invoice formats
  • Custom business requirements for Invoice Approval process
  • Home grown SSO solution which was incompatible with WebCenter
  • Automation of document images integrated with transactional business processes

The Solution

ITC developed a proprietary AP Automation approach building upon Oracle WebCenter enterprise capture, Oracle forms recognition, web center content and images, and further customized workflow notifications using SOA and DPEL, which ITC then integrated with customer’s EBS R11i and R12 instances. IT Convergence team:

  • Installed imaging as the front-end running Oracle WebCenter Unified Content Management (UCM) on the backend.
  • Implemented in 12 languages, streamlining Finance department across the globe
  • Provided real-time integration with the underlying ERP system
  • Customized Bar Code recognition as per MarkView generated barcodes
  • Customized Imaging to support non-standard invoice processing requirements
  • Implemented Custom Flows to ensure the application is built to execute the Business requirements
  • Configured email, local scanner, and network folders for importing invoices into the system

RESULTS

  • Client reduced the manual operations by 67%, bringing down their operating cost
  • Invoice processing speed increased by 3x as a result of automating invoice capturing process
  • Invoices can now be approved via email/mobile
  • Error reduction associated with manual data entry, thanks to invoice data extraction automation through the Image Capturing Feature
